This week’s message

This week we have a short week again with no school Thursday. Weds will be the TSAN celebration for teachers from 3:30 onward. During the upcoming week keep an eye out for surveys for the Coordinators and Principals, we appreciate your feedback as part of our evaluation.

Update on the IB WASC Visit. The Head of School, Principals and Coordinators are writing a School Action Plan (SAP) for WASC based on WASC findings and feedback. It will be completed by the end of the school year. The PYP, MYP and DP reports will be available sometime in June. The coordinators will then create program action plans based on the findings and feedback from the program reports.

End of Year Reporting Timeline


For MYP Reports departments may ‘retrofit’ appropriate reports from last year that have been approved in their entirety.

This upcoming week information will be sent out about determining MYP End of Year Grades. It is similar to the end of Semester 1 process.

> 30 April - 4 May
           Teachers submit personalized report comments that have been through Grammarly and read by a native English speaker to HOD.

> 30 April - 10 May
           HODs submit compilation(s) of comments to a Principal for final proofreading.

> 25 May
           All grades (exclude exam grade), ATL skills and comments are in ManageBac

> 30 May
           All grades (include exam grade), ATL skills and comments are in ManageBac

> 31 May
           All reports are done


      We assume you planned your assessments and firm submission deadlines with sufficient time to grade and comment on them in the report. The biggest disruption to the reporting process comes from teachers who ask for an extension because work has not been submitted or assessed yet.

      You MUST run your comments through Grammarly before submitting to a native speaker for proofreading. Grammarly makes suggestions, so be sure to read them instead of just clicking “accept”. After you have checked with Grammarly and a native speaker, the comments go to your HOD who will check them and then send them to Principals. Be sure to include the name of the native speaker who checked your comments at the top of the document. The HOD is responsible for sending comments to Principals. HODs: do not wait until you have collected all comments before sending them to us. Send them as you get them. Principals will return comments to individual teachers and cc your HOD.

      Do not give a 0 (zero) in any of the criteria unless that is the correct “best fit” grade. Since this is an end-of-year report, it should be nearly impossible for anyone to deserve a 0.



      Remember the new Progression Policy requires students to achieve a 3 or higher in every non-core subject in order to automatically pass. A 1 or 2 does not automatically mean they fail to progress, but it does mean they can only progress on contract if they successfully fulfill other criteria for progression.

For MYP: Only report on the ATL skill assessed in your current unit. If you want to mention difficulty with another ATL skill, mention it in the comment instead.

For DP: Year 11 reports should be a cumulative representation of where the student is at the end of Year 11, not just a Term 4 report. In the last sentence of your report, please also include what topics remain to be covered in Year 2 of the course.


DP Invigilation


Our Year 12 students are starting their IB Final Exam in27 April 2018; we would like to highlight the following points that we, as the exam invigilator should know:

  • Each invigilator must give his or her whole attention to the supervision of the examination. It is not permitted for an invigilator to engage in an activity (for example, reading or marking candidates’ work) other than supervising the examination. Any conversation between invigilators must be brief, quiet and confined to discussing matters relating to the examination in progress.
  • At least one invigilator must walk around the room at regular intervals, without disturbing the candidates, to ensure that no candidate is engaging in any form of academic misconduct. Invigilators must not remain in one place for a long period, but when moving about the examination room they must avoid distracting the candidates.
  • It is suggested that one invigilator is seated at the back of the room so that candidates cannot determine which part of the room that invigilator is observing.
  • During the examination the invigilator must keep an accurate record of any events, such as a temporary absence (for example, requires the bathroom or illness), and if a candidate is cautioned for misconduct (record the name of the candidate and the nature of the misconduct).
  • Do not leave candidates unsupervised at any time. If an invigilator must leave the examination room, another invigilator must remain to supervise the candidates.
  • Other than candidates for the examination, only the head of school, coordinator, invigilators and authorized IB inspectors are allowed into the examination room. No other person should be given access, except in an emergency or with authorization from the Assessment Division, IB Global Centre, Cardiff
  • Candidates must not be allowed to leave the examination room during the first hour or during the last 15 minutes of an examination (subject to 15.6 below). Consequently, candidates must not be allowed to leave the examination room if the duration of the examination is one hour and 15 minutes or less.
  • Candidates must leave the examination room in a quiet and orderly manner, taking only their personal belongings with them. Candidates must not take any examination paper, data booklets, answer booklets or graph paper out of the room.
